The CCTV User Group is the data controller for everything described here. This page covers the vetting toolkit only.
While you are answering the questions
Nothing is sent to us while you work through the assessment. Your answers stay in your own browser so a refresh does not lose them, and they are cleared when you close the tab or start another assessment.
What we store when you submit
Your answers, the result they produced and the guidance versions used, together with your name, organisation, role and email address, plus which consents you gave.
A one-way hash of your IP address. We keep this to spot abuse of the form. It cannot be turned back into an address.
If you asked for the emailed copy, the fact that it was sent and when.
The control centre profile
If you completed the optional control centre step and ticked its consent, the answers are held against a normalised version of your organisation name, so a later assessment updates the same record rather than adding a second one. These answers are used only in aggregate for the CCTV User Group's sector work and are never published at organisation level.
The register
If you ticked the register consent, an entry is created holding the force, the level demanded, the stated basis, whether a risk assessment was produced, previous clearances and the outcome. It holds no organisation name and no contact details. Entries are reviewed by the User Group before publication, and a force with fewer than two published entries shows no numbers.
How long we keep it
Assessments, including your contact details, are kept for 24 months and then deleted automatically.
Control centre profiles are kept until they are replaced by a newer answer from the same organisation.
Register entries are kept indefinitely in their anonymised form, because the value of the register is the trend over time.
Asking for removal
Email directory-support@cctvusergroup.com and we will delete your assessment, your contact details and your control centre profile. Say which organisation you are writing about. If you also want your register entry withdrawn, say so and we will remove it rather than anonymising it further.
Tracking
There is no analytics or advertising tracking on this toolkit beyond the standard request logging our hosting provider performs.
